Privacy notice

This page explains how Mike Hanna Therapy handles personal information.

It covers people who enquire through the website, WhatsApp or email, people who book a free introductory call, and people who become clients. Clinical notes sit in a separate, encrypted system. They are not stored on this website.

I am the data controller for this practice.

What I collect

From enquiries and the contact form: name, email, phone number, and whatever you choose to write.

From clients: the details on the client agreement, session dates, fees and payments, brief clinical notes, and any information you give me that is needed for the work.

If we work online: technical details needed to run the session (for example that a meeting took place on Carepatron).

If you join Members’ Library or Client Membership: the name, email and payment details needed to run the subscription (handled by Squarespace / the payment provider).

I do not ask for more than I need.

Where it is stored

Clinical notes and client records are kept in Carepatron, encrypted health-management software used for notes, bookings and online sessions. That system is separate from this website.

This website is hosted by Squarespace. Contact-form messages, membership accounts and cookies sit there.

WhatsApp and email are used for arranging sessions and short practical messages. They are not used as a clinical notes system.

Bank transfers show your name on my statements. My accountant or bookkeeper may see that.

Session recording and notes

To keep notes accurate, face-to-face sessions may be audio-recorded with Plaud AI. Online sessions may be recorded in Carepatron. Recordings are used only to help write the clinical note. They are deleted once the note is in Carepatron.

I ask for explicit consent for this in the client agreement. You can talk to me before a session if you want a transcript of that session.

Why I use the information

  • To reply to enquiries and offer the free introductory call

  • To provide psychotherapy and related work, keep records, and run bookings and invoices

  • For clinical supervision (your identity is not shared)

  • To meet legal duties (for example safeguarding, or a court order)

  • To run a membership you have chosen

I do not sell your information. I do not use it for marketing lists.

Who else may see it

Only when it is necessary:

  • A qualified clinical supervisor, bound by confidentiality — identity not disclosed

  • A professional executor, if I die or become unable to work — contact details only, so you can be told and the work closed properly. Records are then destroyed

  • Your GP or another professional, and only with your knowledge and consent, unless the law requires otherwise

  • Police, courts or other authorities where the law requires it

  • Squarespace and the payment provider, for website and membership payments

  • Carepatron, as the system that holds notes and online sessions

I will discuss a confidentiality limit with you first wherever it is safe to do so. The usual limits are serious risk of harm to you or someone else, safeguarding of children or vulnerable adults, and legal requirements.

How long I keep it

Enquiry messages that do not become client work are kept only as long as needed to reply, then deleted.

Client records are kept for as long as professional and legal duties require after the work ends, then securely destroyed. Recordings used for note-taking are deleted once the note is written.

Your rights

You can ask for a copy of the personal data I hold, ask for a correction, and in some cases ask for deletion or restriction. You can withdraw consent where consent is the basis for processing (for example session recording), without that affecting work already done.

If you are unhappy with how your information has been handled and we cannot resolve it, you can complain to the Information Commissioner’s Office (ICO): ico.org.uk.

Cookies and this website

Squarespace may set cookies needed to run the site, forms and membership login. Analytics cookies, if used, are for understanding how the public pages are used — not for reading session content. You can control cookies in your browser.

This is not a crisis service
